Private Hire – Terms and Conditions
Booking and Confirmation

A booking is confirmed once a non-refundable deposit of £100 has been received.

The remaining balance must be paid no later than 7 days before the date of travel.
Cancellations and Refunds
-
The £100 deposit is non-refundable.
-
Cancellations made with less than 7 days’ notice may incur a late cancellation fee to cover loss of earnings.
-
Cancellations made with more than 7 days’ notice will not incur a cancellation fee; however, any non-refundable costs already paid (such as parking, hotels, or tolls) must be covered by the hirer.
Vehicle Specification
-
We will provide a vehicle of the agreed size and specification.
-
In unforeseen circumstances, a similar or upgraded vehicle may be supplied.
Driver Responsibilities
-
Drivers will comply fully with all road traffic laws and regulations.
-
Drivers’ working hours are governed by law and cannot be exceeded.
-
Please do not ask drivers to break these rules. They are legally unable to do so.
-
If a legally required break is needed, the driver will stop at a suitable location.
-
When booking, we can advise if a driver break will be required.
-
If unforeseen delays result in a required driver break, the company cannot be held responsible for missed admissions or tickets.
-
For overnight hires, the customer is responsible for the driver’s accommodation.
Client Responsibilities
-
The client must provide accurate trip details, including pick-up and drop-off locations and times.
-
Any changes to the itinerary must be communicated in advance and may incur additional charges.
-
If sickness occurs due to alcohol consumption, a £50 cleaning charge will apply, payable by the hirer. This fee goes directly to the driver.

Seatbelts must be worn at all times while seated. This is a legal requirement. We cannot accept liability for injuries resulting from failure to wear a seatbelt or remain seated.
Payments
-
Accepted payment methods: BACS or cash.
-
Late payments may be subject to additional charges.
Damage and Cleaning
-
The client is responsible for any damage caused by their party.
-
A cleaning charge may be applied if the vehicle requires excessive cleaning.
Insurance and Personal Belongings
-
The company holds appropriate insurance covering the vehicle and passengers.
-
Personal belongings are carried at the owner’s risk.
-
Lost property is disposed of at the end of each month.
Limitation of Liability
-
Except in cases of death or personal injury caused by company negligence, liability is limited to the total hire charge.
-
We are not liable for any indirect, consequential, or financial loss.
Force Majeure, Breakdowns, and Delays
-
The company is not liable for delays or failure to perform due to circumstances beyond its control.
-
Journey times are provided in good faith. Dan’s Coach Travel cannot accept responsibility for delays caused by traffic conditions, accidents, or breakdowns.
Termination of Service
-
We reserve the right to terminate a hire if passengers behave in a disruptive, unsafe, or illegal manner.
Hiring In
-
Dan’s Coach Travel reserves the right to use another operator’s vehicle or services if required due to unforeseen circumstances. We will keep the hirer informed wherever possible.
Complaints
-
Any complaints must be submitted in writing to the company owner, Daniel Trent, within 7 days of the hire.
Confidentiality
-
Both parties agree to keep all information exchanged confidential.
Excursions – Terms and Conditions
Booking and Confirmation
-
Bookings are confirmed once full payment has been received.
-
Bookings can be made via our website, email, or telephone.
-
Cash payments are not accepted on the coach.
Cancellations and Refunds
-
All cancellations must be made in writing.
-
Cancellations made 14 days or more before the excursion will receive a refund.
-
For ticketed excursions, ticket costs are non-refundable.
-
No refunds are available for cancellations made within 14 days of travel.
-
If an excursion does not reach sufficient numbers, we reserve the right to cancel. In this case, passengers will be notified at least 2 weeks in advance and offered a full refund or transfer to another trip.
Itinerary
-
Full itineraries, including departure and return times, are available on our website.
-
The itinerary may be altered due to unforeseen circumstances.
Passenger Conduct
-
Passengers must follow instructions given by the driver or excursion leader.
-
Disruptive or unsafe behaviour may result in removal from the excursion without refund.
-
Please inform us at booking if you are bringing a walking frame, shopping trolley, pram, or small mobility scooter.
-
These items must be folded and ready for storage to minimise delays.
-
Please board the coach promptly at pick-up points.
-
We reserve the right to depart without passengers who are more than 15 minutes late without communication.
-
Seatbelts must be worn at all times while seated.
Health and Safety
-
Passengers should advise us of any medical conditions or special requirements.
-
The company cannot accept liability for health issues arising during the excursion.
Vehicle and Driver
-
A suitable vehicle will be provided for the excursion.
-
Drivers will comply with all legal driving requirements.
Meals
-
Meal arrangements, if included, will be detailed in the excursion information.
-
Special dietary requirements must be advised in advance.
Insurance and Personal Belongings
-
The company holds insurance covering passengers during excursions.
-
Personal belongings remain the responsibility of the passenger.
-
Perishable items are disposed of after 24 hours.
-
Other lost property is retained for 1 month.
Limitation of Liability
-
Except in cases of death or personal injury caused by company negligence, liability is limited to the excursion price paid.

We are not liable for indirect or consequential losses.
Force Majeure, Breakdowns, and Delays

The company is not responsible for delays or cancellations due to circumstances beyond its control.

Journey times are estimates only and provided in good faith.
Photography and Promotion
-
Photographs or videos taken during excursions may be used for promotional purposes.

If you do not wish to be included, please inform the driver on the day.
Changes and Cancellations by the Company
-
We reserve the right to cancel or amend excursions due to unforeseen circumstances or insufficient bookings.
-
In such cases, passengers will be offered an alternative or a full refund.
Hiring In
-
We reserve the right to use another operator if required. Passengers will be kept informed wherever possible.
Complaints
-
Complaints must be submitted in writing to Daniel Trent within 7 days of the excursion.
Confidentiality

All information exchanged will be treated as confidential.
